Project Planning – Objectives Must Be Crystal Clear For Effective Delegation

Management skills, the kind that support effective delegation excellence,often involve project and assignment execution. After all, management is the process of getting work done through others. So, when making a determination of how prepared the manager is to execute work, a key question must be answered in the affirmative. Here is the criteria:

“Has our team defined crystal clear, detailed, measurable business objectives for our assignment?”

It may appear axiomatic that any reasonably experienced manager would answer yeas to this important criteria. You would be wrong in most cases. The reality is much different. The practical matter is that this process is often over-looked or falls short of a level of excellence. Assumptions are made that members of the team will understand what the manager needs to have done. The manager thinks that if they just get the project started, then will over-see progress and assure that th work is on track.

Here are just a few of the things that can go wrong.

  1. The “clear” criteria is always in the eye of the beholder. Of course, the manager may see the objectives clearly but that does not mean the members of a business unit have the same clarity. Each member of the team has a different background, knowledge level, experience and ability. The manager who creates a truly clear objective statement will cut across all this diversity.
  2. Most project objectives are not specific enough. The same diversity issues above are at work. A well conceived objective description, one with concise but complete statements, Will help all members of the team to identify, understand and be able to commit to the objective.
  3. To be truly measurable the details must be quantifiable. If not, the project will be ambiguous. If a manager can not measure the project, they can not track progress. At times, some projects are not as easy to quantify, but with a bit of effort and creativity some quantifiable elements will be identified.
  4. The ability of a manager to identify that sufficient progress is being made is absolutely mission critical. This should not be left to chance. The project plan needs to have specific and scheduled check points along the way. These check points require reports of progress and any issues to be made by those assigned. Any slippage that is identified in project execution can be handled. Adjustments can be initiated to get back on track. The integrity of the action plan can be maintained.
